2. Principles of Data Processing

We process personal data exclusively for defined purposes, to the extent necessary, and in a confidential and secure manner.

Personal data is processed in particular for:
- communication and contact management  
- offer preparation and contract initiation  
- contract performance and project collaboration  
- invoicing, accounting and statutory documentation obligations  

No automated profiling takes place.

Any future use of data for training AI systems will – if at all – be carried out exclusively using locally operated models within our own technical infrastructure. Personal data is not used to train external AI systems and is not shared for such purposes.

3. Website and Technical Data

When visiting our website, technically necessary data is processed (e.g. IP address, browser type, time of access) to ensure secure and stable website operation.

The website is operated using Webflow. Only technically necessary cookies are used.

4. Contact and Appointment Scheduling

When you contact us or schedule an appointment (e.g. via forms or booking tools), the following data may be processed:
- name  
- email address  
- telephone number  
- organisation, role  
- content of your enquiry  

Processing is carried out exclusively for communication purposes and for the initiation or performance of business relationships.

For this purpose, we use TekMatix as an integrated contact, scheduling and project platform.

5.Personal Data Retention

We retain personal data only for as long as necessary for the purposes described in this policy, and as required by applicable legal retention obligations (in particular accounting and tax documentation).

5. Project-Related Surveys

Within the framework of publicly funded projects – in particular **HyAcademy** and **Green SKHy**, as well as their content-related continuations under different project names – we conduct project-related surveys and data collections.

For this purpose, we use in particular:
- Microsoft Forms  
- Microsoft Power Automate 
- form functionalities provided by TekMatix

Depending on the project, contact details, professional information and content-related responses may be collected. Data is used exclusively for project purposes and shared only with the respective project or consortium partners.

After completion of the original funding context, personal data is deleted unless statutory retention obligations apply.

Further processing may take place if a demonstrable content-related continuation of the projects exists. In such cases, data is used exclusively for comparable purposes. Use for unrelated or new purposes does not take place.

7. Project, Contract and Confidential Data

Project- and contract-related data is retained for as long as it serves legitimate project, contractual, documentation or follow-up purposes.

There is no automatic deletion of project-related data upon project completion.

Deletion of such data takes place only if and to the extent that this is explicitly required:
- by contractual agreement,
- by applicable law, or
- upon explicit request by the respective project partner or data subject.

Information provided by partners and marked as confidential is handled with strict confidentiality and access restrictions. Confidentiality does not imply automatic deletion. Such data is retained unless deletion is expressly required as described above.

Publicly available information, reports, publications or project results that are not confidential in nature are generally retained and are not subject to deletion.

8. Contractual and Project Collaboration

For collaboration with customers and partners, we use:
- TekMatix (project and customer management)  
- Microsoft 365 
- Google Workspace

This may involve the processing of confidential project, contractual and working documents. Use is strictly purpose-related for contract performance and collaboration.

The selection of individual platforms may be determined by institutional or technical requirements of our customers (e.g. universities).

9. Payment Processing and Accounting

For payment processing, invoicing and financial accounting, we process in particular:
- name / company  
- invoice and service data  
- payment status and payment receipts  

Payments are processed via:
- Stripe
- PayPal 
- UBS Switzerland AG  
- Bexio (invoicing, accounting, tax reporting)

Processing is carried out exclusively for proper contractual and financial handling and to comply with statutory retention obligations

10. Infrastructure and Data Storage

We use, among others, the following infrastructure:
- Infomaniak (email, storage – Switzerland)  
- Webflow (website)  
- TekMatix (project and customer platform)

Data is predominantly processed in Switzerland or within the infrastructure operated by the respective service providers.

11. Social Networks (LinkedIn)

We use LinkedIn for professional representation and contact initiation.

If you communicate with us via LinkedIn, the information you provide is processed exclusively for professional communication. Data processing by LinkedIn is carried out independently by the platform operator.

12. International Data Transfers

Some of the service providers we use may process personal data outside Switzerland and/or the EEA/UK (e.g. depending on their corporate structure, support processes, or hosting infrastructure). We do not make blanket claims about specific transfer mechanisms. For details on locations and safeguards applied by each provider, please refer to the respective privacy notices of those providers.

13. Information and Communications

If we send informational communications (e.g. updates, invitations, or newsletters), you may object at any time.

You can unsubscribe using the link provided in the respective communication or inform us directly that you no longer wish to receive such information. We will respect your request without undue delay.

14. Your Rights

You have the right at any time to:
- obtain information about your stored personal data  
- request correction of inaccurate data  
- request deletion or restriction of processing
